Booking Conditions
Confirmation
As per our company policy, booking will only be confirmed on receipt of full payment or advance deposit.
payment
Payment of deposit
A deposit of at least 20% of the total tour/service cost is necessary. Deposit can be settled online with credit/debit card via PayPal, or bank transfer.
Payment of the remaining balance
By cash
In case you pay the remaining balance in cash, you can hand the money over to our guide or to our driver on the day of the tour. We can also send someone to your hotel for collecting the payment.
By credit/debit card or bank transfer
The remaining balance needs to be settled online before the trip departure or the use of our service.
Please note bank transfer may take up to a week before the payment activates our bank account. The booking reservations will be launched only after we receive the deposit/payment.
Amendment
There is no fee for any change or amendment you make prior to your final confirmation. Otherwise, amendment or cancellation fees may may be charged.
The booking reservation will be launched immediately after we receive your final confirmation + payment of deposit, and starting from that date, service’s amendment/cancellation fees may be applied by our local service providers (hotel, restaurants, airlines companies...).
Cancellation
Vietnam Cycling must be informed in writing. Cancellation charges would be effective from the date we receive advice in writing and cancellation charges would apply as follows:
From 31 days and up: No charge
From 30 days to 15 days: 10% of the total tour/service costs
From 14 days to 8 days: 30% of the total tour/service costs
From 7 days to 1 day: 50% of the total tour/service costs
No show: 100% of the total tour/service costs
Child discounts
The following discounts apply for children when they join us on a day trip:
Under 5 years: free of charge.
Age between 5-11 years: 25% discount from the retail price.
Above 12 years: same rate as adult.
For all tours involving accommodation, prices for children will be calculated to actual costs and all child discounts received from suppliers such as reduced entrance fees or value ads for children will be passed on to the clients. Accommodation is charged according to the individual hotel’s tariff and children occupying their own rooms will be charged as adults. During the booking process we will do our utmost to advise you of child discounts and extra bedding requirements for children.
All flights are quoted separately and children are charged as per airline policies. Infants under two years of age will be exempt from most charges except as mandated by airline policies.
Waiver form
All clients must sign a waiver before renting a bicycle or participating in a tour. Minors under the age of 18 require the signature of a parent or a guardian on the waiver.
Responsibility
The detailed programme, cycling route, and schedule flights are subject to change without prior notice and in accordance with the weather conditions and daily operations flights. Consequently, itinerary concerned might be adjusted. If this occurs, however that it is done as a courtesy to participants and Vietnam Cycling can not be held responsible for denied boarding, nor for additional costs occurred.
